After the examiner has announced that the degree project thesis has been examined and approved, a final version should be submitted for archiving and publication in DiVA. No later than one week after the examiner has announced the result you should send the final version to the editor for archiving.

With the exception of the cover and the preface, each student is responsible for all layout of the thesis. This means that you should place and layout all text content, figures, figure texts, tables, and appendices in the document.

The editor needs the following materials and information

The editor needs the following materials to the cover:

  • Cover page information: Name and title
  • Pictures: The picture image should be of JPG, TIFF or EPS file format and be formatted for a final size of 10 x 15 centimetres maximum. Take extra precautions to verify that you are not violating any picture copyrights.

The editor needs the following information to the preface:

  • Information for the prefaces: supervisors and examiner. If you have an extern supervisor send also information about the. The director of studies then writes the preface and send it directly to the editor.

Pictures and copyright:

  • Artistic works, photographs, illustrations and diagrams have copyright protection disallowing use by someone other than the author without the author’s permission. This protection is governed by the law of copyright for literary and artistic works (SFS 1960 : 729).
  • The Visual Arts Copyright Society in Sweden (BUS) represents thousands of Swedish and international artists. If you want to use a picture depitcting such work, please contact BUS. In other cases, you may contact the copyright owner, the publisher, or the distributor. Always specify the context in which you wish to use the work as well as where it will be published.
  • Scientists sometimes need to use images in their research to illustrate their reasoning. Swedish copyright law provides special permisson in these cases, making it possible to publish images without asking the copyright owner 's permission, and without risk for liability.
  • Should you not get permission to use a picture in its electronic format, you can omit it and replace it with an explanatory text: "Because of copyright protection, this picture is missing in its electronic format."

The document file

In order to deliver the whole document to the editor you have the following options, e-mail (maximum 10 MB) or use a memory stick (USB) and visit the editor. You should deliver the document file preferably in PDF-format, so the picture and text layout remain as they should throughout the whole process, until the printing stage.

The degree project is printed in colour for the archive. In the case of special printing requirements, the student is responsible for the printing process (for example A3-fouldouts). The degree project thesis is printed double-sided. However, it is important that the abstract, the contents page, and the introduction begin on a right side of a foldout, i.e. an odd page.

Use the following layout setting in your Word document:
• Page layout A4 and portrait format
All page margins: 2,5 centimetres
Headers: 1,5 centimetres from edge, use centred, page number
Text: Use 10-12 points size serif font (for example Times New Roman) for the body text and a 14-16 points sans-serif font (for example Arial) for the headers.
• Any manual hyphenation of the text should be done as the absolute final editing.
Note: It is important to check this option!

The editor announces when it's ready and the final PDF-file with the entire degree project, including cover and prefaces is sent by e-mail back to you. You will then be asked to review and approve it as soon as possible.

Publish the degree project in DiVA (The Academic Archive On-line)

As a student you should upload the degree project in the Stockholm University Academic Archive On-line, DiVA:
Note: When you publish your degree project in DiVA, it will be visible and accessible on the Internet.

• Log in using the same information as your University account.
Select: Add application / Upload files
Select publication type: Studentuppsats/Examensarbete
• Instructions can be found through the symbol ”?”
Author: Complete your information. Username: Leave it empty. Department, unit or programme: choose Institutionen för naturgeografi och kvartärgeologi.
Title: Do not use a period (dot character) after the title and no period between the main title and the subtitle. Same as the cover. Choose then languages: Swedish/English.
Alternative title: If your title would be translated to another language. 
Level: Degree Project on Masters Level – Select “Självständigt arbete på avancerad nivå (Masterexamen)”.
University credits:  Example: Physical Geography and Quaternary Geology, 30 hp/HEC = 30 hp
Other information:  State the year that is written on the cover and numbers of pages.
• Series, Others series and Identifiers: Leave it empty
• National subject category: Not necessary, but should be topic-related
• Educational program and Subject / course: Leave it empty
Subject category: Select “bio-/geovetenskap”
• Keyword: Not necessary
• Part of project: Not necessary
Abstract: Should be completed
Supervisor and examiner: Enter the supervisor and examiner name and the department name, which is the same as in the prefaces.
• Presentation: Not necessary
Upload file: Upload the degree project in PDF-format. (You can choose to continue without uploading a file).

• The editor reviews and approves the degree project for publication. It can take up to three weeks before you can find it online.

Notice: The Department of Physical Geography stops printing theses to students, supervisors and examiners from 1 May 2016. The decision is a part of the Department’s environmental effort to reduce the use of paper and the decision affects theses sent to print after this date. As a student you should publish the PDF-file send by the editors in DiVA.
